Using RevLogic
Assigning accounts to your team
How to give each person on your sales team their own book of business in RevLogic, including assigning customers and company accounts, the Mine and Everyone views, and what changes on Home and on follow-ups.
When more than one person is working the phones, “who calls this customer?” needs an answer. RevLogic lets a manager give each teammate their own book of business (a set of accounts they own), and everyone then gets a personal view of the call list, Customers, Winback and the Home briefing.
Nothing about ownership appears until the first account is assigned. If your store doesn’t need it, RevLogic looks exactly as it always has.
What owning an account does
Assigning an account changes what a teammate sees first. It doesn’t change what anyone is allowed to do:
- The account appears in their Mine view of the call list, the Customers page and Winback.
- Their Home page briefing counts and ranks their accounts rather than the whole store’s.
- A new follow-up raised on the account is assigned to them by default.
- The owner’s name shows on the customer’s card, so whoever picks up the phone knows whose account it is.
Everyone can still open, call and quote any account. If someone else’s customer calls in, you can still take the call, with the full history in front of you.
Who can assign
Assigning is a manager’s job, and it happens on the Customers page only. Roles are set on the Settings page; see Getting started with RevLogic for how the team roster works.
The controls appear once your team has at least two people on the roster. A one-person store has nobody to hand an account to.
Assigning from the Customers page
Open Customers. Managers see two ways to assign:
- One account. Click Assign on the row and pick a teammate.
- Several at once. Tick the rows you want, then click Assign to… in the bar that appears at the top of the table.
Either way you get the same dialog: choose a teammate, choose Me to take the accounts yourself, or choose No owner (unassign) to clear the owner. Assigning replaces whatever owner an account had, so moving a book from one person to another is just a re-assign.
An Owner column shows who owns each row, with a dash where nobody does.
A teammate appears in the list only after they’ve opened RevLogic once. Shopify doesn’t give apps a way to list your staff, so RevLogic’s team roster fills in the first time each person opens the app. If someone’s missing, ask them to open RevLogic and refresh the page.
B2B company accounts
On stores that use Shopify B2B, assign company accounts on the Companies tab, not on People. A company location is the account your team actually sells to (it’s what Shopify prices, files and invoices against), so that’s the level ownership belongs at. Assigning the individual contact on the People tab won’t give a teammate the company’s orders.
Filtering by owner
Beside the Status filter on the Customers page is an Owner filter:
- Anyone. The whole store. This is the default.
- Me. The accounts you own.
- Unassigned. Accounts nobody owns yet (managers only).
- A teammate’s name. Their book (managers only).
An Owner: … tag under the controls clears the filter in one click, the same way the status filter works. The Owner filter covers every customer, including ones RevLogic hasn’t analysed yet, so an account you’ve just assigned shows under its owner straight away. Managers also see a line telling them how many analysed accounts still have no owner, with a link straight to that view, sorted most overdue first. It’s a quick way to work through the leftovers after a first pass.
Mine and Everyone
Once your store has assigned accounts, a Mine / Everyone switch appears on the Dashboard call list and on the Winback page:
- Mine. Only the accounts you own.
- Everyone. The whole store, which is what these pages showed before.
The choice is shared across the three pages and remembered on your device, so picking Mine on the call list keeps you in your own book on Winback and the Customers page too. If you don’t own any accounts yet, you’ll open on Everyone, since a blank page wouldn’t help.
Your Home page
The Home briefing doesn’t have a switch. As soon as you own at least one account, Home narrows to your book on its own: the Calls overdue and Winback counts and the top-calls list all describe your accounts, and the section is titled Your top calls today so you know which you’re looking at.
If you don’t own any accounts, Home shows the whole store, exactly as before.
Follow-ups go to the owner
When someone raises a task on an account that has an owner, it’s assigned to that owner by default. A callback promised on your account lands in your Tasks inbox, even if a teammate took the call. Pick someone else in the composer’s Assign to list to override it. Tasks on unassigned accounts stay with whoever created them. See Tasks and notes.
What happens when someone leaves
Deactivating a teammate on the Settings page doesn’t erase their accounts. The Owner column still names them, so nothing silently loses its history. New follow-ups on those accounts fall back to whoever raises them, rather than landing in a queue nobody is reading. Reassign the book when you’re ready.
